Privacy policy.

This policy explains how Verismo Health Inc. (Verismo, we, us) handles information through the Verismo Learning Chrome extension and the connected LMS services used for sign-in, workflow guides, uploads, and AI refinement. It does not replace privacy notices for other clinic services.

The extension helps authorized LMS administrators create, review, and follow training guides. Administrator access is required to use its features. Use synthetic training records and review all captured content before sharing it.

Account and access information: your LMS account identifier, name, work email, assigned roles, administrator status, clinic information, and temporary pairing and session credentials. These are used to connect your account and enforce access.

Workflow and website information: selected tab titles and URLs, page origins and paths, element labels and selectors, clicks, keyboard shortcuts, interaction timing, step instructions, screenshots, and text you enter into the guide editor. Approved and blocked sites, capture preferences, and optional workflow-mapping suggestions are stored locally. The extension does not read the Chrome browsing-history database, but captured page addresses are browsing-activity data.

Narration: when you enable it and grant microphone permission, Chrome processes microphone input using on-device speech recognition. Transcript text becomes part of the local draft and may be uploaded with the guide. Raw microphone audio is not saved or uploaded by the extension. Browser support and installed language packs determine whether narration is available.

Support and operational information: feedback you submit, optional local diagnostic events, and service request metadata such as IP addresses, browser information, request times, and errors. These support troubleshooting, authentication, abuse prevention, and reliable service operation.

You choose approved websites and control capture. Blocked websites and organization restrictions take precedence. Automatic workflow mapping is optional. Captured drafts and screenshot assets remain in extension-local storage until you explicitly save them; requesting AI refinement separately sends the reviewed text described below.

Typed form values are excluded from recorded interaction events, but visible page content can still appear in screenshots, element labels, URLs, or narration. Automatic masking is incomplete. Review screenshots and text, apply manual privacy masks, and remove sensitive details before uploading or requesting AI assistance.

Do not include patient-identifiable health information, private messages, financial or payment details, passwords, or other secrets in training captures or AI requests. If such information is visible during capture, it may be processed locally or included in a draft despite masking. Stop capture, discard or redact the affected content, and contact us if it was uploaded. This extension is not a medical-record storage system.

We use information to verify administrator access, capture and restore drafts, produce and display training steps, align narration with steps, highlight guide targets, save reviewed guides, provide requested AI suggestions, respond to feedback, and protect the service.

The extension does not use workflow or browsing data for advertising, credit decisions, or unrelated tracking. Verismo does not sell extension user data or transfer it to data brokers. We limit its use and transfer to the training features you request, service operation and security, and applicable legal obligations.

When you choose Improve guide or Generate SOP and confirm the text review, the extension sends the guide title, summary, and step text, together with step identifiers and action types, to the LMS backend. The backend sends this information to OpenAI to generate proposed edits. The current model is GPT-6 Luna.

Screenshot files, microphone audio, captured URL fields, and separate narration fields are not included in the AI request. However, any details you place in the title, summary, or step text, including narration you explicitly add to a step, are included. Review that text before requesting AI assistance.

AI suggestions are returned for your review. You choose whether to apply them; an AI request does not publish or save a guide. OpenAI processes submitted text under its applicable API data terms. Requests disable stored Responses, but this does not guarantee zero provider retention: processing or abuse-prevention records may still be retained under those terms. Verismo does not use extension data to train its own general-purpose AI models.

When you save a reviewed capture, the LMS receives the guide content, screenshots, page locators, and transcript text included in that capture. Authorized LMS users may access saved guides according to LMS permissions. If an administrator enables public guide sharing or embeds, people with the shared link can view that content.

Uploaded images are served from media URLs that may be accessible to anyone who has the URL. A draft guide or an unlisted URL should not be treated as a guarantee that its image files are private. Upload only reviewed training material suitable for that form of access.

Service providers process information to host the LMS, store uploaded media, deliver sign-in messages, and operate support and security functions. These include Railway for hosting and OpenAI for optional AI refinement. We may also disclose information when required by law or necessary to address security incidents or protect rights. Providers may process information outside Canada; this service does not promise Canada-only processing.

Local drafts, screenshots, preferences, and optional diagnostic records can remain in your Chrome profile until you discard or clear them, or remove the extension. Signing out removes connection credentials but does not necessarily erase local drafts. Copies you export remain wherever you save them.

Uploaded guides and media remain in the LMS independently of the local draft. Deleting a local draft, signing out, or uninstalling the extension does not delete previously uploaded material. Saved guides do not have an automatic expiry period. Account, session, operational, and support records may remain for service, security, or legal purposes; retention varies by record type.

To request access, correction, or deletion of uploaded content or account information, contact support@verismohealth.com. We verify your identity and authority before acting. Deletion may be subject to legal or security requirements, and removing a guide may also require removal of its associated media and retained copies. Do not send passwords or patient details in a privacy request.

Production connections use HTTPS. Scoped extension credentials and repeated administrator checks limit extension access. The extension stores connection credentials in session storage and restricts privileged capture and upload operations to its trusted components. No security measure eliminates every risk; protect access to your browser profile and review content before upload.

You can choose or block recording sites, stop capture, disable optional narration or workflow mapping, decline AI assistance, discard local drafts, disconnect the account, or uninstall the extension. Organization-managed restrictions may limit available settings. Ask your LMS administrator to revoke account access when appropriate.

Verismo Learning uses and transfers extension user data in accordance with the Chrome Web Store User Data Policy, including its Limited Use requirements. Information obtained through Chrome extension APIs is used only for the disclosed training features, their necessary operation and security, and legal compliance. We do not sell this information, use it for personalized advertising, or use it to determine creditworthiness or for lending purposes.

We will update this page and its effective date when these practices change. Material changes that require additional disclosure or consent will be presented through the service before the affected processing.
